Think of these emails as a conversation where you not only have to share a piece of information but to bring more value to the reader. That said, below I am going to share 4 key strategies with you that can transform your way of writing business emails.

Invoke the Reader’s Curiosity with a Catchy Subject

The subject line of a business email is the first impression. It can pique the interest of the reader. However, it can also be the first reason that makes them skip your email.

So avoid making the following mistakes while making subject lines:

  • Using vague or generic phrases;
  • Writing subject lines that are too long;
  • Overusing capital letters;
  • Making false promises or clickbait;
  • Ignoring relevance to the email content;
  • Using spammy words or phrases.

A good subject line can get your email opened and acted upon. So, try to make a subject line that presents a glimpse of your email.

Try making personalized subject lines ideally under 60 characters. Avoid copying the generic subject lines from the web. Plus, adding action verbs to the subject line can prompt readers to act instantly.

For example, instead of writing (Meeting follow up), consider writing like (About last great meeting – Excited to discuss next!)

This will not only remind the recipient about the last interaction but also showcase your spirit.

Another effective strategy is to evoke curiosity in the subject line. Asking a question can make the reader curious to open the email for answers.

Bringing personalization into every business email can make it more effective. It prevails the senses in the recipient’s mind that you value them as a person not just a business opportunity.

When I talk about personalization most people only stop at adding the recipient’s name only. But it doesn’t just stop there.

By personalization I mean crafting an email that can resonate with:

  • Interest of the reader;
  • Problem of the reader;
  • Activity of the reader.
For example, if you are writing an email to acknowledge an achievement of a business to start building a new connection. You can start writing with “Congratulations (recipient name) on achieving the milestone.” 

After congratulating, acknowledge the efforts of the business and their team. Try to mention the change they are bringing to the industry. This will give them a sense that you studied their business well and they might open the doors to a new connection.

Stick to the Point

When writing a business email, the two things that matter most are clarity and brevity. To bring clarity, avoid adding unnecessary information. Else the reader will get lost in the message without getting the main point.

So before you start writing, identify the primary purpose of your email. 

Ask yourself: 

  • What do I want to communicate?
  • What action do I want the recipient to take?

After greeting the recipient, come straight to the point rather than writing a lengthy fluffy story. Only stick to the topic, do not try to oversell through business emails.

For example, if the purpose of the purpose is to discuss the deadline of a project, only stick to it. Avoid discussing the outcome right away nor try to sell other services that are not yet needed by the recipient. 

Inspire Response with a Call to Action

In every business email, a clear and engaging CTA (a short statement that prompts your reader to take some form of action) is essential.

It will guide the recipient on what to do next. To make your CTA effective, ensure it is both specific and actionable.

For example, avoid using vague statements like “Let me know if you’re interested.” Instead, use a direct approach like “Can we schedule a call to discuss this?”  

This will encourage the reader to respond promptly. Moreover, try to add CTA naturally at the end of the email. Avoid the use of negative phrases while writing a call to action.

Besides CTA, do not forget to add a professional signature at the end of the email. A good signature is the one having all the professional details like Name, Company, Contact, Address, and Social Links.

The strategies that I discussed above are beneficial when it comes to writing a business email. It is and will always be an effective approach. However, it might take a long time when it comes to implementing these strategies in practice.

Business professionals sometimes are too busy but have to write an email or reply to a business inquiry right away. This can probably happen when they are traveling or on vacation.

In this scenario, they do not have much time to focus on the content.

The lateness of a minute can make the loss a big deal. But writing a poor email in a hurry can also affect the deal.

Though it is always recommended that you give proper time to the email writing process as it can make or break a business deal.
